Privacy and Candidate Assessment Policy

Policy version: 2026-10-06. Effective when published.

This policy explains how SVS Recruiting collects, uses, shares, and retains information in connection with its recruiting services, candidate profiles, communications, and assessments. It applies to candidates, people whose professional information we obtain from other sources, hiring contacts, and users of our website and connected services.

Who is responsible for your information

Smartmonkey Software Pvt Ltd is the entity responsible for candidate data held for SVS Recruiting and for the processing described in this policy to the extent that it determines its purposes and means. Its registered address is C-201, Kailas Esplanade, L.B.S. Marg, Ghatkopar West, Mumbai, Maharashtra, India. Processing may involve personnel, service providers, and recruiting partners in the UAE and other countries, as described below.

Privacy requests and questions may be sent to privacy@svsrecruiting.com. Address requests to the Privacy and Grievance Contact, Smartmonkey Software Pvt Ltd, at that email address. Applicable legal rights and obligations take precedence over anything in this policy.

What the presence of a profile means

The presence of a person’s profile in our database does not mean that the person is looking for a job, open to opportunities, available for employment, or has applied through SVS Recruiting. A profile may exist before its subject registers or participates in our service.

We obtain information from a variety of sources and contexts. A designation such as “confirmed” or the ✓ indicator labelled “High confidence” does not, by itself, establish that a meeting or recruiting conversation has taken place, that a person is seeking work or has expressed interest in changing jobs, or that they have authorized profile sharing. It does not certify the accuracy or completeness of the profile or assessment.

Creating or holding a sourced profile does not establish consent on the person’s behalf. Claiming a profile or registering an account is also distinct from authorizing particular uses or disclosures of that profile.

Information we collect and its sources

Depending on your interaction with SVS Recruiting, we may collect or create:

  • Account and contact information: name, email address, telephone number, account identifiers, sign-in credentials or authentication records, and preferences.

  • Professional information: CVs, work and education history, skills, qualifications, locations, compensation information, career preferences, and links to professional profiles, GitHub work, websites, and portfolios.

  • Recruiting activity: applications, recommendations, introductions, interview arrangements, hiring feedback, offers, and the history of related interactions.

  • Communications and meeting information: messages, emails, information supplied in conversations, meeting details, recordings where made, transcripts, summaries, and correspondence.

  • Assessment information: recruiter notes, star ratings, assessment explanations, AI-generated summaries and inferences, and other derived information used for recruiting.

  • Company and commercial information: hiring contacts, roles and requirements, contracts, invoices, subscription records, and payment-related references.

  • Technical information: IP addresses, device and browser information, session and authentication records, activity timestamps, request and error logs, and security or performance information.

Sources include information you provide directly, previous interactions with SVS, referrals, employers and hiring contacts, professional networks, publicly accessible websites, portfolio and code-hosting services, sourcing providers, and service providers involved in communications or meetings. The existence of one source does not mean every part of a person’s profile came from that source.

A CV supplied privately, a CV published by its author, and a transcript of a conversation are treated according to their respective sources, purposes, permissions, and applicable legal requirements. Information shared with a limited recruiting audience is not automatically treated as information made publicly available.

How we use information

We use relevant information to:

  • Establish and administer accounts, authenticate users, and maintain candidate and company records.

  • Understand professional experience, capabilities, preferences, and hiring requirements; assess candidates and identify potentially suitable opportunities.

  • Present profiles and relevant assessments to appropriate recruiting recipients where authorized or otherwise lawfully permitted.

  • Manage applications, interviews, introductions, offers, and related recruiting communications, including email and WhatsApp.

  • Produce and maintain meeting transcripts, summaries, notes, and recruiting history, subject to applicable recording, notice, and permission requirements.

  • Provide AI-assisted search, matching, assessment, summaries, and conversational assistance.

  • Provide job updates and other communications in accordance with applicable permissions and preferences.

  • Manage contracts, subscriptions, payments, and business administration.

  • Operate, secure, troubleshoot, and maintain the service; address privacy requests, disputes, and legal obligations.

We rely on consent where required. Where applicable law permits another basis or an exemption, we rely on it only for processing within its scope. Public availability, participation in a conversation, and supplying a CV do not create an unrestricted permission for every possible use. This policy explains our practices; it does not itself create consent merely because you visit the website or appear in our database.

Permission to share profiles

When you authorize profile sharing for recruiting purposes, you permit SVS Recruiting to forward your professional profile and relevant recruiting assessments to prospective employers, recruiters, hiring representatives, and recruiting partners that we consider appropriate for those purposes, subject to the scope of your authorization and applicable law. Within that scope, we may select recipients without seeking a separate approval for every disclosure, unless a separate arrangement or legal requirement provides otherwise.

This authorization concerns distribution to a recruiting audience. It does not mean that your profile is published openly on the internet. Any public publication requires an appropriate separate basis.

You may withdraw your permission to share at any time through the controls made available to you or by contacting our privacy address. We will give effect to withdrawal as required by applicable law. Withdrawal does not retrospectively invalidate earlier lawful processing, but it may require us to stop further processing and delete information.

Profiles obtained independently are shared only where the necessary authorization or another applicable legal basis permits that sharing. Profile-sharing permission does not automatically authorize disclosure of every private message, transcript, or internal note.

Communications transcripts and other recruiting records

Conversations, messages, transcripts, summaries, and notes may contain information about you, SVS personnel, hiring contacts, and other people. We use relevant portions for the recruiting purposes described above and disclose them only where an appropriate permission or other lawful basis permits it.

A record may be part of SVS Recruiting’s business records while also containing your personal data. Creating, receiving, or holding the record does not remove rights that applicable law gives you. Permission to distribute a professional profile does not, by itself, authorize public distribution of private conversations.

Star ratings and assessments

Star ratings represent SVS Recruiting’s subjective opinion at the time of assessment, informed by our recruiting criteria, available information, and professional impressions. Criteria may include professional experience, technical work, educational background, and employment history. The weight and relevance of different factors depend on the context. A rating is not a definitive judgment of the individual or a prediction of suitability or performance in every role.

Ratings and assessments may be produced or assisted by AI and other automated systems. They may be incomplete or erroneous because of limited or outdated information, human judgment, AI or agent errors, software defects, unavailable external websites or services, network failures, or other technical problems. A rating marked “confirmed” or shown with the ✓ indicator labelled “High confidence” does not guarantee its accuracy or completeness and should not be understood as a certification of every underlying fact.

We may revise or withdraw ratings. Except where required by applicable law, we do not undertake to continuously reassess every profile, detect every error, retry every failed retrieval or assessment, or notify each person whenever an assessment changes. These limitations do not exclude legal obligations concerning personal-data accuracy, correction, security, or other statutory rights.

You may raise concerns about inaccurate underlying information or an assessment through our privacy contact. A request or disagreement does not itself guarantee a particular rating or recruiting outcome.

Service providers connected assistants and other recipients

We use external providers for hosting and storage, authentication, security and diagnostics, email and messaging, meeting scheduling and transcription, payments, and AI processing. Depending on the feature, examples include Amazon Web Services, Google, Cloudflare, Postmark, WhatsApp and Meta, Fireflies, Cal.com, Stripe, Sentry, OpenAI, Anthropic, and OpenRouter or the model providers accessed through it. Providers may change as the service develops.

Relevant profile information, communications, transcripts, or assessment material may be sent to AI providers to perform the functions described in this policy. We do not represent that all AI processing occurs solely within SVS infrastructure or that all input is anonymous. The data provided, the relevant permissions, and the provider arrangements must comply with applicable law.

If you connect an external assistant or application to SVS Recruiting, it may request information and perform actions within the permissions of your account and connection. Information returned to that application may be processed by its operator under its own terms and privacy policy. Disconnecting a connection does not necessarily delete information that was already lawfully received by that operator.

Prospective employers and other recruiting recipients may process information they receive for their own hiring purposes and have their own legal responsibilities. We may also disclose relevant information where necessary and lawfully permitted to meet legal obligations, respond to lawful requests, or establish, exercise, or defend legal claims. Where a provider acts on our behalf, our applicable responsibilities extend to that processing.

Archiving your profile

You may contact privacy@svsrecruiting.com to request that your profile be archived or recruiting activity be paused. Tell us whether you want to pause new opportunity outreach, recommendations, profile sharing, or an existing application. We will address your request and any withdrawal of consent in accordance with applicable law. A self-service archive control is not currently offered.

Archiving does not itself withdraw an existing application, reverse previous lawful disclosures, or prevent necessary communications about existing matters, your account, security, privacy requests, or legal obligations. If you want to withdraw an application or stop a particular existing process, tell us or use the relevant control.

Archiving is a preference about recruiting activity. It does not, by itself, delete the information we hold, create a new legal basis for retention, or replace any withdrawal or deletion rights available under applicable law.

Retention withdrawal and deletion

Archiving a profile or withdrawing permission to share it does not automatically delete every record we hold. We may retain information only where, and for as long as, applicable law permits or requires it for the relevant purpose. Where applicable law requires deletion, we will delete it and take the required steps concerning providers acting on our behalf.

Retention depends on the category and source of information, the purposes for which it was obtained, the relevant permissions or other legal basis, and applicable record-keeping, dispute, security, or other legal requirements. Possible retained records include recruiting history, contractual and financial records, and limited records of a withdrawal or privacy request, only where their retention is lawfully permitted or required. Retaining a record does not automatically authorize continued recruiting use or profile sharing.

We do not claim an unconditional right to retain privately supplied CVs, transcripts, assessments, or other personal data indefinitely. Any reliance on an exception for information made public by its subject is limited to the information and processing covered by that exception; it does not automatically extend to private or separately generated information.

Prior recipients may have independent legal responsibilities for information already lawfully disclosed to them. This does not limit any obligation we have to communicate a request, correct or erase information, or cause a processor to do so under applicable law.

Your requests and choices

You can contact privacy@svsrecruiting.com to ask about your information, correct inaccurate facts, withdraw consent, request archiving or deletion, or raise a grievance. Identify the profile or account concerned and describe your request. We may ask for information reasonably necessary to verify your identity or authority and understand its scope.

Where available under applicable law, your rights may include access or information about processing and recipients, correction, completion, updating, deletion, restriction or objection, review of certain automated decisions, withdrawal of consent, nomination of another person to exercise rights, and complaint to the appropriate regulator. These rights have the scope, conditions, exceptions, and commencement dates provided by the applicable law; this policy does not restrict them.

We will handle requests and grievances within the periods required by applicable law. Where processing remains lawful despite a request, we may explain the applicable basis or exception. A request does not require us to disclose another person’s protected information or confidential business information beyond what applicable law requires.

You may change available communication preferences or use an unsubscribe mechanism provided for the relevant communication. Essential service, security, existing-process, and legal communications may still be necessary.

Cookies security and international processing

We use cookies and similar mechanisms for sign-in, sessions, security, and preferences. Browser settings may allow you to restrict cookies, but doing so can affect service functionality. Technical logs and diagnostics help us operate and protect the service. Where a use requires consent, we will obtain it through the applicable mechanism.

We maintain security measures appropriate to the processing and applicable law. No system can guarantee complete security or uninterrupted availability. That limitation does not exclude duties to protect information or respond to a breach as required by law.

Information may be accessed or processed across borders, including by SVS personnel, recruiting recipients, and service providers. Depending on the arrangement, this may involve the UAE, India, and other countries where recipients or providers operate. International processing remains subject to applicable transfer requirements, safeguards, and restrictions; using the service is not treated as a blanket waiver of them.

Children and changes to this policy

Our recruiting services are intended for adults. If you believe we hold information about a person below the age permitted for the relevant service or processing, contact us so that the matter can be addressed under applicable law. We do not treat a child’s use of the service as sufficient authorization where parental or guardian consent is required.

We may update this policy and publish the revised version with its effective date. Where a change requires additional notice or consent under applicable law, we will provide or obtain it. Publishing a revised policy does not, by itself, authorize a new purpose or override an earlier withdrawal.
